Membership
Event Vault Palm Beach is a community collective made up of like-minded small business owners who seek to further the success of the community as a whole by supporting individual members through the sharing of ideas and pooling of resources. EVPB members become active stakeholders in the collective, sharing the cost of housing an extensive collection of event rental items and earning additional income by lending out their own items in the cache.
Members are entitled to borrow items from within the vault per calendar availability at an exclusive discount. The borrowing calendar opens 2 months in advance of the borrowing date. Members may start booking items based upon their membership level. There are several membership options available.

The EVPB Vault houses the following rental items; anything not on the list will be considered on a case-by-case basis. No candles please.

All rentals have a 6-day rental duration.
All items must be picked up on Wednesday by 5pm. Items should be in clean, usable condition
All items must be returned on Monday by noon in the same or better condition than they were borrowed.
All items stored in the vault will be kept in climate controlled, secured spaces. Items will be kept as they are received.

All items housed in the vault are available for borrowing.
Lenders’ items will be rented only through the EVPB vault website.
Items may be lent out for up to 25% of retail cost.
EVPB will cut lenders a dividends check on the 10th of every month; the check will reflect all rental fees earned minus a 10% administrative fee that stays with EVPB.
Lenders may choose to apply dividends to monthly membership fees; please notify EVPB staff by the 9th of each month.
Lenders are allowed to blackout 3 dates per season to reserve their own items prior to the rental calendar going public; dates will be listed on the inventory list.
Lenders may not borrow any items or collect dividend checks if their dues are not current.
Lenders will be given a check by the 15th of the month following the borrowing period.
Lenders are responsible for providing a full inventory list of all items they house in the vault. Lenders must fully complete a copy of the EVPB inventory sheet before items will be stored. Inventory list must include:
All required information via the fields listed in sheets (including but not limited to: personal info, item name, description ,quantity, lot size, retail value, rental value, condition, and “imperfection” field)
At least 2 photos: 1 cover photo (as plain and straightforward, undecorated as possible; stock photos from the internet are acceptable), 1 personal photo (either of the item in use or a simple photo of the actual item, not a stock photo)
If the item is not in pristine used condition, you must include a photo of the “imperfection” or “damage”
All items brought to the vault must be housed in plastic storage containers with coordinating lids (no cardboard), specifically labeled with: Lender’s name, contact number, item’s name, item quantity, item condition.
Items must be stored by lot (i.e. if you rent 10 bud vases at a time, 10 bud vases should be in one container). Several individually packaged lots can be grouped in a larger container.
All items brought to the vault will be labeled by lot with an EVPB adhesive label listing the EVPB rental information, specifically, the unique EVPB SKU number.

Borrowers may not borrow any items if their dues are not up to date.
Borrowers are expected to care for items as if the items belonged to them personally. Each time it is to be returned in the same or better condition than when it was borrowed (cleaned and ready for the next event)

With the recommendation of a current member, a guest may borrow from the vault 3 times a season (October 1-May1).
If Guests decide they would like to become members and have the needed requirements, their guest pass fees for the year may be retroactively applied to a membership fee.
Members of the collective are carefully vetted to ensure the group will continue to flourish as it expands. Collective members are held to high standards of behavior within the group, and any members not abiding by the expectations of the collective will be asked to leave. Prospective membership candidates must collect the personal recommendations of at least three current collective members to be considered; all membership acceptances are at the sole discretion of the EVPB owners.

Borrowers are responsible for replacing any lost or damaged items with exact replacements of the items before the next borrowing period. If an exact replacement cannot be found, the borrower owes the lender the full retail value of the item within 24 hours of the loss or damage. The borrower is also responsible for helping the next member who is scheduled to borrow the items find a suitable substitute and is expected to cover the financial cost of the substitute.

EVPB is not financially responsible for lost, stolen, damaged items.
Items damaged or lost during borrowing periods are the financial responsibility of the borrower; lenders are entitled to replacement of any item that is damaged beyond repair or lost; if a replacement cannot be procured, lender is entitled to financial compensation from the borrower for the items.
EVPB carries the maximum allowed Renter’s Insurance on all items stored in the vault.
EVPB is not financially liable for stolen items but will share the insurance claim evenly amongst all lenders in the event of theft from the vault.
